This is the agreement between Voyage2Vietnam/We/the Company and You/the traveler.
Prices & Services Inclusion
Our prices are quoted in USD net and non-commissionable. Hotel rates are quoted per room per night. Tour and other services are quoted per person basis. Single supplements will be applied to individual travelers wishing to stay in a single room. Prices are subject to change until our final written confirmation before your booking. Please check the services included on each day listed in your travel itinerary, we are not responsible for any services not written by our travel consultants.
Booking And Services Availability
As soon as we have received your booking request, our operation staffs will process all the reservation of the services as per what we have agreed. The suggested services are sometimes not available so please accept an alternative of the similar categories.
Reservations and Confirmation
All reservations must be made in writing via our official website or email addresses. All reservation requests will be handled/replied to within 24 hours. We will inform you in case we are unable to process your requests by the specified time frame.
Chill Policy
Child Policy for land tour services
• Child from 0-5 years old (sharing all services with parents): F.O.C, maximum 1 child per room
• Child from 6-11 years old (sharing the bed with parent): 50% adult’s rate, maximum 1 child per room
• Child from 6-11 years old (with extra bed): 75% adult’s rate, maximum 1 child per room
• Child from 12 years old up: 100% adult’s rate
Child Policy for airfare with Vietnam Airlines (policy may change with other Airlines)
• Child under 2 years old: 10% airfare of adult
• Child from 2 to under 12 years old: 90% airfare of adult
• Child from 12 years old up: 100% adult fare
Deposit & Payment
Payment of the deposit or payment in full will guarantee booking. We will confirm after receiving your payment.
Deposit: Right after we make agreement, an advanced deposit of 30% of the total cost is required to guarantee your booking. If your booking is too close to the departure date then larger amount to a full payment is to be paid in advance. In some cases, hotels and other services require full payment before your arrival, thus your balance must be paid before your arrival to Vietnam. In this event of the full payment not reaching our account by the due date, we reserve the right to cancel the specific booking on the contract between us.
Payment can be made by the following accepted methods: Credit Card, Cash, PayPal, Wire Transfer, Telegraphic Transfer, or a combination. (Except for cash payments, bank charges may apply, and any bank charge must be borne by the customer.)
Online payment by credit card via OnePay System: If you choose this option, we will create a secure link as the Invoice. Paypal: Very quick and convenient for anyone who has a PayPal account. However, large amount will take much of the bank fees.
Payment by bank transfer: This is the safest way, and you can save on bank fees, too.
Amendment
In case you wish to make amendments to your booking, no charge will be applied if the amendments are not close to the deadline for cancellation (see cancellation policy). When an amendment is made, the tour cost may change and the new price will be applied.
Cancellation by Customers
In the event of cancellation, We will not impose any charges since we strive to provide the best service and experience to our customers. However, if hotels or transportation contractors apply charges for cancellation, you will have to pay those charges that apply. Cancellation policies vary depending upon the type of service, the time of year, and the reason for cancellation. We will pass on all details of any cancellation policy to you with our reply upon demand.
In general, please refer the policy that we are using as below:
Cancellation: The date of cancellation will be the date we have your notification, here is the fee;
• Greater than 30 days prior to departure 30% of full amount
• Between 29 days and 15 days prior to departure 50% of full amount
• Between 14 days and 07 days prior to departure 100% of full amount
Should we experience severe weather conditions we will contact you immediately and offer you the choice of an alternative of equivalent quality or a partial refund. No additional compensation will be paid over. There is no refund or exchange that can be made for unused services not utilized by your tour member. If the refund is allowed then a service fee will be charged to cover our administration and third-party expenses.
Amendments or Cancellation by the Company
In case of a force majeure event such as a flight delay, an act of God, or act of governments, we reserve the right to alter or cancel the confirmed trip. We will use our best efforts, will seek the best solutions and arrange similar or alternative options. However, it is not easy to provide other services at the same price, so if the new cost is less than the prepaid one, we will refund the difference. Likewise, if the new cost is higher than the previously confirmed one, you will be required to pay the difference.
Refund of unused services
No refunds or exchanges can be made in respect of services which are included in the price but not utilized by the customer, such as there will be no refund given for any unused or missed ground arrangements, sightseeing, meals or hotel accommodations. For no-show cases full amount will be charged.
Acceptance of booking
We reserve the right to decline your booking without explanation if we have cause to believe that you might pose a threat to public safety or security in Vietnam. We reserve the right to adjust the itinerary or to substitute hotels or to cancel a tour prior to departure without prior notice or will take no responsibility for any loss due to group dynamics, weather condition, governmental or police action, traffic jam or other conditions dictate. We require you to take out travel insurance and any other necessary insurances adequate to meet your needs and will assume that you will have done so before your arrival in Vietnam.
Claims and Refunds
Cancellations and amendments for unused services that do not fall under the cancellation policy above are refundable. All claims must be made in writing only and must be received by Voyage2Vietnam no later than 3 days after the last day of the trip. Refunds and their methods will be made as agreed upon between you and Voyage2Vietnam for unused services and timely cancellations. Again, we will not charge you any amount for our work, however, bank fees if applicable, will be from your account.
Responsibilities & Liabilities
Voyage2Vietnam shall not be held responsibility for loss of property or any additional expenses incurred by customers due to unforeseen disasters such as an earthquake, flood, typhoon, fire, disease, adverse weather, etc., or an act of government(s) or other authorities such as war, strikes, political chaos, riots, quarantine, customs regulations, delays or changes in itineraries or schedules by those out of our control. In addition, we will not be responsible for any injury, loss, death, delay, or damage to personal property that is not related to our services such as an airlines delay. Voyage2Vietnam’s maximum liability, for any reason, will be limited to the amount paid to us for the requested services. Voyage2Vietnam will not be held responsible for the loss, death, physical harm caused to, or any expenses incurred by passengers if they deviate from our original tour itinerary or group.
Travel Insurance
We strongly recommend that all travelers obtain travel and health insurance before taking any of our tours. Insurance is not included in our tour cost. Guests with Disabilities/Special Diets Guests with disabilities are welcomed at Voyage2Vietnam. Any person requiring special services, assistance, equipment or accommodations must advise our staff at the time of reservation. The Company reserves the right to reject requested accommodations that are not readily achievable. Guests using wheelchairs must be accompanied by a companion. If guests have special dietary needs, we must be advised at the time of booking or, at the latest, 3 days before departure. Every effort will be made to comply.
Photography
Travelers should understand that The Company may take photographs during tours for marketing and promotional purposes. Our guide will always ask your permission before taking your photo. However, we understand your right to privacy, so if you prefer not to have your photo taken, please let the guide know when he asks.
Site Accuracy
All efforts have been made to ensure the accuracy of descriptions and information contained on our website. However, circumstances may occasionally change, but you will be informed at the time of booking in the event of any significant or long-term changes, or as soon as reasonably possible if there is time before your departure.
Contract And Bonding Arrangements
The contract will consist of the agreed itinerary with your approval on: tour program, timing, service type and services included, value and others mentioned in the itinerary. And, your acceptance of these terms and conditions. Voyage2Vietnam is legally bound to keep a substantial bond for your protection.
